As a Unit Secretary at Stanford Health Care, you will be an important member of the healthcare team. What You Will Do
As a Unit Secretary, your main job will be to help with all the daily activities in the unit. Here is a list of your important tasks:
Clerical and Administrative Support
- Help with patient admissions, discharges, and transfers: This means you will make sure all the documents are filled out correctly when a patient arrives, leaves, or moves to a different area in the hospital.
- Keep medical records organized: You will make sure all the patient files are in order and maintain their confidentiality.
- Answer phones and greet people: You will be the first person to speak with visitors, staff, and patients when they call or walk into the unit.
- Coordinate lab labels and blood board: You will work with the nurses and other staff to organize lab labels and make sure everything is ready for tests.
Communication and Coordination
- Talk to the care team: You will communicate with nurses and doctors about patient care orders, discharges, transfers, and other important information.
- Arrange patient transport: If a patient needs to go to a different area of the hospital for a procedure, you will help coordinate the transport.
- Print diet and allergy reports: Every 8 hours, you will print out reports to make sure the patient’s diet and allergies are up-to-date.
Environment and Unit Maintenance
- Keep the unit clean and organized: You will make sure your work area is neat and safe. This includes ordering supplies, keeping the desk area clean, and ensuring the unit is safe for patients.
- Fix or clean broken equipment: If anything breaks or gets dirty, you will make sure it is sent for repair or cleaning.
- Help with office tasks: You will help with things like copying documents, filing papers, and running small errands.
Customer Service and Patient Interaction
- Help patients with their needs: You will answer patient calls and requests, making sure they get the help they need quickly.
- Manage patient flow: You will notify the team when a patient is admitted, transferred, or discharged to keep everything running smoothly.
Education and Experience Requirements
Education:
- You need to have a High School Diploma or GED (General Education Development) certificate.
Experience:
- You do not need any previous experience for this job, but if you have worked in a hospital or healthcare setting before, that’s a plus!
Skills and Qualifications

- Good communication skills: You should be able to talk and listen carefully to patients, families, and staff members.
